Understanding Time Entry Statuses
Each time entry in Buildend is assigned a status that reflects its current state within the review and approval process.
Statuses help employees and approvers understand whether a time entry is still being worked on, has been approved, or requires further attention.
As time entries move through the workflow, their status changes to reflect the actions taken by employees and approvers.

Status: Open
Open indicates that a time entry has been created and remains available for review, editing, or approval.
Time entries in an Open status may:
- Be edited by authorized users
- Be reviewed by approvers
- Await approval or rejection
Open entries have not yet completed the approval process.
Status: Approved
Approved indicates that a time entry has been reviewed and accepted by an authorized approver.
Once approved, a time entry is considered finalized according to your organization's approval process and may contribute to:
- Project costing
- Payroll processing
- Financial reporting
- Billable time tracking
- Operational reporting
🟡 Important: Approved time entries may impact downstream reporting and financial processes.
Status: Rejected
Rejected indicates that a time entry has been reviewed but was not accepted during the approval process.
A time entry may be rejected for various reasons, including:
- Missing information
- Incorrect hours
- Incorrect project or activity selection
- Other issues identified during review
When an entry is rejected, the user who submitted the time will be notified to resubmit.
âš« Note: Rejected time entries remain in the system for historical reference. To proceed, users must submit a new time entry with the necessary corrections.
