Setting Up Time Card Approvers

Configure approvers to control who can approve and reject a user's submitted time entries.

Overview

Note: Access to User Management required to perform these actions. If you require permissions for this area, contact your Buildend Administrator.

Time Card Approvers control who can review, approve, and reject a user's submitted time entries.

By default, users do not have approvers assigned. When an Approver Role is configured, only users assigned to that role within a project can review and approve that user's time entries.

You can configure multiple approvers for a user and define the order in which approvals occur. If no approval order is specified, approvals will follow the order in which the approvers are configured.

Approver assignments are managed from the user's profile in User Management and help ensure submitted time is reviewed by the appropriate individuals before approval.

Step-by-Step Guide

  1. Navigate to User Menu > Settings > Account Settings - Users.

  2. Open the user record you want to configure by clicking Edit.

  3. Locate the Time Card Approvers section.

  4. Click Add Approver

    • Add one or more Approver Roles.

Note: If an Approver Role is configured, only users assigned to that role within a project will be able to approve or reject that user's time entries.

    • Configure the approval order, if applicable. If there is no approval order set the system will follow the order these were entered.

    • Use the checkbox to mark if this approver is Required

  1. Click Update to submit your changes.

Note: Changes to approver assignments apply only to future time entries. If an approver is removed or changed, any time entries already in progress will continue to follow the approval workflow that was in effect when the entry was submitted.


Best Practices

  • Assign approver roles that align with your organization's reporting structure.

  • Ensure approvers are familiar with the user's work and time reporting requirements.

  • Review approver assignments periodically, especially after staffing changes.

  • Update approver assignments promptly when supervisory responsibilities change.

  • Use approval ordering only when a sequential review process is required.
