Overview
Organizations often use the same operational information across multiple projects, including cost codes, forms, equipment, price lists, and certificates.
Instead of recreating this information for every project, Buildend manages it as company-level resources. These resources are maintained centrally by the organization that owns the Workspace and can be reused wherever they are needed.
This approach helps your organization establish consistent standards, reduce duplicate data, and simplify project setup and ongoing administration.
How Company-Level Resources Work
Company-level resources are stored within the Workspace rather than created separately inside each project.
When a project uses one of these resources, it references the centrally maintained information. This allows your organization to use the same resource consistently across multiple projects while reducing duplicate setup and administrative effort.
Updates to a company-level resource may affect how that resource appears or is used across connected projects. For this reason, these resources should be managed intentionally by authorized users.
Types of Company-Level Resources
Buildend supports several types of company-level resources.
Resource | How It Is Used |
Cost Codes | Created once and used throughout projects to manage budgets, contracts, purchase orders, change orders, and other financial records. |
Equipment | Added to the company library and assigned to projects as needed. |
Forms | Created centrally and made available within projects for users to complete and submit. |
Portfolios | Used to organize related projects into groups for reporting and visibility. |
Price Lists | Maintained centrally and reused wherever standardized pricing information is needed. |
Certificates | Managed at the company level and referenced throughout projects to support compliance tracking. |
The resources available to your organization may depend on its Buildend configuration and the modules included in its implementation.
Who Manages Company-Level Resources
Company-level resources are owned and maintained by the organization that owns the Workspace.
Access is permission-based.
Workspace administrators and other authorized users may be able to create, edit, or manage these resources.
External collaborators may have limited access or may not be able to view them.
Because changes can affect multiple projects, management access should be limited to users responsible for maintaining organization-wide standards.
