They are designed for issue tracking and can be used for a wide variety of project activities, including deficiencies, punch lists, QA inspections, and safety observations.

Tasks help project teams organize work, assign responsibility, monitor progress, and ensure issues are resolved efficiently.

Common Uses for Tasks

Tasks can be used for virtually any project issue or work item. Common examples include:

  • Deficiencies

  • Punch list items

  • QA/QC inspections

  • Safety observations

  • Site issues

  • Warranty items

  • Corrective actions

  • General project action items

Organizations can customize task types to match their internal processes.

Assigning Tasks

Every task can be assigned to one or more project members, making it clear who is responsible for completing the work.

Assigned users receive visibility into the task and can update its status as work progresses.

Typical information stored on a task includes:

  • Task name

  • Description

  • Assignee(s)

  • Priority

  • Due date

  • Status

  • Attachments

  • Photos

  • Comments

Creating Tasks

Tasks can be created from both the Buildend web application and the mobile app.

The mobile app allows field staff to quickly capture issues directly from the job site by:

  • Creating a new task

  • Taking photos

  • Attaching existing photos or files

  • Adding notes and descriptions

  • Assigning the task to the appropriate team member

This allows issues to be documented immediately while on site, reducing paperwork and improving communication.

Attachments and Photos

Tasks support file attachments, allowing users to include supporting documentation such as:

  • Photos

  • Drawings

  • Documents

  • Inspection reports

  • Manufacturer information

  • Other project files

Photos taken in the field provide clear documentation of existing conditions and completed work.

Action Items

Tasks can contain a checklist of Action Items that must be completed before the task itself can be marked complete.

This helps group related work into a single task instead of creating numerous individual tasks.

Example

Instead of creating ten separate deficiency tasks for Room 200, you can create one task:

As each action item is completed, it can be checked off individually. Once every action item has been completed, the overall task can then be completed.

This keeps task lists organized while still providing detailed tracking of individual work items.

Approval Workflows

Tasks support configurable Approval Workflows.

When a task is created, it can automatically follow a predefined approval process based on your organization's workflow configuration.

Approval workflows can be used to:

  • Review completed work

  • Verify deficiencies have been corrected

  • Approve QA inspections

  • Sign off on safety observations

  • Route tasks through multiple reviewers
