Documents: Overview

The Documents area is the central location for managing files within a project.

The Documents area is the central location for managing files within a project. It stores all documents and attachments uploaded throughout the project, making it the source of truth for project files while providing tools to organize, manage, and control access to them.

Accessing Project Documents

  1. Navigate to the project.

  2. Select Documents.

  3. Browse the folder structure to view project documents and attachments.

Note: Files attached throughout Buildend, such as in RFIs or Purchase Orders, are stored within the project's Documents section.

Creating a Folder

  1. In Documents, click New Folder.

  2. Enter a folder name.

  3. Select the project permission roles that should have access to the folder.

  4. Click Create Folder.

The new folder will be added to the document structure.

Uploading Files

  1. Open the folder where you want to upload files.

  2. Click Upload Files and select the files from your computer.

You can also drag and drop files from your computer onto the Upload Files button to upload them.

Moving Files Between Folders

  1. Select one or more files.

  2. Right-click the selected file(s) and choose Move.

  3. Search for and select the destination folder.

  4. Click Move File.

The selected files will be moved to the chosen folder.

Managing Files

Right-click a file to access additional actions:

  • Download – Download the selected file.

  • Rename – Change the file name.

  • Delete – Remove the file.

  • Preview – Preview supported file types, such as PDFs, images, and videos.

You can also preview supported files by clicking the file name.

Managing Folders

Right-click a folder in the left navigation panel to access folder management options:

  • Edit – Rename the folder and update folder access permissions.

  • Download – Download the entire folder as a ZIP file.

  • Delete – Delete the folder and all files it contains.

  • New Folder – Create a subfolder inside the selected folder.

When creating a subfolder, the folder access permissions are automatically inherited from the parent folder.

To upload an entire folder structure:

  1. Open the destination folder.

  2. Click the menu button beside Upload Files.

  3. Select Upload and Extract Zip.

  4. Upload a ZIP file.

Buildend automatically extracts the ZIP file, recreates the folder structure, and uploads the files into their corresponding folders.

Automating File Organization

Buildend can automatically organize files when users attach documents to project modules, such as RFIs and Purchase Orders.
