How to Apply Workflows to a Project

When a new project is created, the workflows assigned to each module depend on how the project was created:

  • Projects created from a project template inherit the workflows saved in that template for each module.

  • Projects created without a template use the system's default workflows configured for each module, such as RFIs, Submittals, and other project modules.

Note: You must have both System Admin and Project Admin permissions to update project workflows.

Updating a project workflow

  1. Open the project.

  2. In the project toolbar, click Project Settings.

  3. Select the Project Workflows tab.

  4. To view the workflow assigned to a specific module:

    1. Select the Module dropdown.

    2. Choose the module, such as RFIs.

    3. The currently assigned workflow is displayed.

  5. Click Update Workflow.

  6. In the pop-up window, select a workflow from the dropdown list. The list contains all workflows available at the system level.

  7. Click Save Changes.

The selected workflow is now assigned to the module.

Important: Workflow changes apply only to new records created after the change. Existing records continue using the workflow that was assigned when they were created.

You can repeat this process for any supported module, including RFIs, Submittals, Tasks, Subcontracts, Purchase Orders, Prime Contracts, Invoices, and others.
