Certificates: Overview

Buildend Certificates provides a centralized place to manage worker certifications, company documents, and insurance records.

Buildend Certificates provides a centralized place to manage worker certifications, company documents, and insurance records. This helps organizations stay compliant with automated expiry tracking, renewal reminders, and an audit-ready record of certificates across the company.

  1. From the top navigation bar, click Certificates.

  2. Review the certificate dashboard, which displays key information such as:

    • Total certificates

    • Expired certificates

    • Certificates expiring in the next 60 days

    • Other certificate status summaries

  3. To add a new certificate, click Add Certificate.

  4. Select whether the certificate is for a Company or an Individual.

  5. Complete the certificate details:

    • Select the Certificate type.

    • Select the issuing Agency.

    • Enter the Certificate Number.

    • Enter the Issue Date.

    • Enter the Expiry Date.

  6. (Optional) Enable Private if you want the certificate to be visible only to your company.

    • Private certificates are only accessible within your organization.

    • Certificates that are not private can be viewed by companies in your directory network through Buildend QR codes.

  7. Upload the certificate file.

  8. Click Submit to create the certificate.

User Access and Approvals

  • Users can submit their own certificates.

  • Approval workflows can be configured to review submitted certificates and mark them as approved.

  • Users with limited permissions can only view their own certificates.

  • Company administrators can view all certificates within the organization.

Using Certificate QR Codes

Each certificate includes a QR code that can be downloaded by clicking the QR Code icon beside the certificate.

  • Individual certificate QR codes can be scanned using the Buildend mobile app to display the worker's current certificates.

  • Company certificate QR codes display all company-level certificates.

  • Site personnel can use QR codes to quickly verify that workers have the required certificates before entering the job site.

Filtering Certificates

  1. On the Certificates page, click Filters.

  2. Apply filters to locate specific certificates.

  3. You can also filter certificates by companies in your directory.

  4. Public (non-private) certificates from companies in your directory can be viewed to verify that contractors and workers have the required, up-to-date certifications.

Archiving Expired Certificates

Once a certificate has expired, a company administrator can archive it.

  1. Open the Certificates page.

  2. Locate the certificate you want to archive.

  3. Under the Options column, click the three dots menu.

  4. Select Archive Certificate.
